So Clean is a £5m turnover contract cleaning company in Orpington, Kent. Like all cleaning contractors, they face a daunting administrative burden, partly as a result of the sheer number of front line staff, but partly because of the heavy compliance responsibilities that come with working in the industry.
Going paperless has been a gradual and challenging transformation for So Clean, with two key stages: firstly, the systematic indexation and storage of digital business documents; and secondly, the training of staff in the software applications used to manage their key business processes and automate the flow of files around the company, including electronic authorisation. For five years they have been using TemplaCMS as their business management software, which takes care of everything from payroll and accounts to quality auditing and customer service. This has been the key to making their paperless journey happen.
They are also ISO14001 accredited and their environmental action plan, used to back up their accreditation, is now as much about the electronic office, as it is about using low impact chemicals or machinery.
